Ganymede are looking for Workflow Operations Administrator to join our Rail team at our Head office in Derby. The role will be to oversee and manage the seamless flow of tasks and processes within our organisation’s systems. This pivotal role ensures that all orders and transactions are processed accurately and efficiently, contributing to our operational excellence.

As one of the leading suppliers of contingent labour services in the industry, our contingent labour services include the recruitment, training and workforce management of safety-critical personnel from our strategically located offices across the UK, supplying more than 1,500 onsite personnel to the rail industry across the UK.

This role will be instrumental to our continued success and our commitment to constantly striving to improve our processes and standards, meaning we can grow as business while maintaining the same levels of service. 

Our ideal candidate will have a minimum of 2 years’ experience in a similar role, and be highly proficient in Microsoft Excel, Access and using systems. Higher education in Business Administration would be desirable but is not a prerequisite. An integral part of our team, we are looking for someone with great communication skills, the ability to work at a fast pace with precision and someone who wants to develop and grow within a business.

Key Responsibilities:

  • Coordinate Workflow Processes: Manage and monitor task flow across internal and external systems to ensure timely and accurate processing.
  • Order Processing: Input orders accurately into our internal system, maintaining up-to-date order statuses.
  • Transaction Management: Accept and reject resource requests in external systems, adhering to established guidelines.
  • Data Verification: Ensure precision and consistency in all system-entered information.
  • Communication: Act as a liaison between departments to facilitate smooth workflow and resolve issues.
  • Documentation: Maintain thorough records of transactions and processes for auditing purposes.
  • Problem-Solving: Identify and resolve workflow discrepancies, implementing corrective measures.
  • Continuous Improvement: Propose and implement enhancements to streamline operations.
  • Compliance: Ensure adherence to company policies and regulatory requirements.
  • Training: Provide training and support on workflow processes and systems.

Qualifications:

  • Education: Higher education in business administration preferred.
  • Experience: Minimum 2-3 years in coordination, operations, or similar roles.
  • Skills:
    • Strong organizational and multitasking abilities.
    • Proficiency in Microsoft Office, particularly Excel.
    • Excellent communication and interpersonal skills.
    • Familiarity with workflow management and order processing systems.
    • Exceptional attention to detail and accuracy.
    • Ability to work independently and collaboratively.
    • Strong problem-solving skills, especially under pressure.
